Given the nature of our activities, GENDRON ASSURANCE understands the importance of protecting personal information collected in order to provide the services for which it is required.

In accordance with the applicable legal framework, GENDRON ASSURANCE has implemented a set of measures and control procedures to ensure sound governance in terms of confidentiality and protection of personal information we hold about clients, prospects, partners, and our employees.

By providing us with your personal information, you accept the terms of this policy and authorize us to process your information in accordance with it.

Definition of Personal Information

“Personal or nominative information”: Any personal information that concerns a natural person and allows, directly or indirectly, for their identification [1]

Without limitation, such information may be identifying (e.g., name, address, telephone number, driver’s licence number), financial (e.g., credit card number), medical, or related to professional activities (e.g., employee record), etc.

Consent

No information is collected by GENDRON ASSURANCE without the consent of the client, the representative, or the prospect.

By providing us with your personal information, your consent is given. Consequently, you accept the terms of this policy and authorize us to collect, retain, use, and disclose your information in accordance with the purposes for which it was collected.

Right to withdraw consent to the use or disclosure of information

Subject to certain limitations, you may withdraw your consent to the collection, use, and disclosure of your personal information. In such circumstances, GENDRON ASSURANCE may not be able to offer you the requested product, rate, or service for your insurance policy.

Collection and Use of Information

Only the essential information we need is requested, for the purpose of responding to your request. Examples include:

  • Conducting a comprehensive needs analysis
  • Providing an insurance quote for the requested product(s)
  • Issuing an insurance policy to that effect, where applicable
  • Processing payment for a purchased product or service
Information from Third Parties

Committed to protecting clients’ personal information, GENDRON ASSURANCE does not sell, collect, share, disclose to third parties, or publicize any personal information of its clientele, except to carry out its service mandate, ensure continuity of services to its clients, or in the specific context of complying with a court order or responding to an authorized government body.

In such circumstances, GENDRON ASSURANCE may collect or transmit information to legitimately authorized organizations and/or entities subject to the applicable regulatory framework, or to specialized providers that have formally committed to protecting our firm’s personal information. By way of example and without limitation, these may include:

  • Insurance brokers or claims adjusters;
  • Insurers, reinsurers, and financial institutions or the bodies responsible for their regulation;
  • Courts;
  • The central automobile claims database and the Société de l’assurance automobile du Québec or of another province;
  • Credit, risk, and claims data analysis agencies;
  • Collection agencies;
  • Delivery partners;
  • Internal leads or external partners for IT management and/or for personal information and data security;
  • Legal consultants;
  • Cloud service providers;
  • Authorized payment service providers.

Commitment of Staff and the Firm

Every employee, supplier, or partner associated with our firm contractually commits to complying with our privacy policy and protecting the personal information held by GENDRON ASSURANCE, which is for the exclusive use of our firm. This commitment begins upon the start of employment or engagement and continues indefinitely.

Data Hosting

GENDRON ASSURANCE works with various web service providers. Some providers may host data outside the province of Québec or Canada. In such circumstances, the laws of other provinces and countries may apply.

Accuracy of Information

Our staff strives to maintain the accuracy of the information in the client file. You can validate and update the information in your file with our certified team.

Right of Access and Rectification

If inaccurate information appears in the file, or if access to personal information is required, a written request may be sent to the person responsible for the protection of personal information in order to make corrections. In such cases, our firm follows the prescribed process:

  • Submit a written request for access or rectification;
  • Send the written request to the firm’s email address or physical address;
  • You will receive an acknowledgment of receipt;
  • Your identity will be verified;
  • Your request will be processed no later than 30 days from the date of receipt [3];

Quotes

In order to provide a quote, a service offer, or an insurance contract, we must analyze the needs of the person concerned as well as all persons involved or mentioned in the process.

Whether requests are made by telephone, in person, or online, consent from all targeted individuals must be obtained directly.

Online Quotes (via Website)

When a quote request form is submitted via the GENDRON ASSURANCE website, the client understands, authorizes, and automatically consents that GENDRON ASSURANCE will:

  • Use their personal information to analyze protection needs and provide an insurance quote for the requested product;
  • Contact them by phone, email, or other means to discuss their file, provide the requested quote, and, if necessary, discuss other services offered by GENDRON ASSURANCE;
  • Use their email address in order to respond to their request.
Email Communication / Online Subscription and Unsubscription

After you provide your email address to GENDRON ASSURANCE, GENDRON ASSURANCE may send you information by email. You can confirm or withdraw your consent to the use of your email address at any time by unsubscribing from the mailing list in one of the following ways:

  • Via a notice in the message or email leading to the online unsubscribe page (where applicable);
  • By contacting the person responsible for the protection of personal information at the email address listed at the bottom of this policy.

In this way, and in accordance with CASL [5] [6], you can stop any unsolicited emails that may have been sent by GENDRON ASSURANCE.

Telephone Recording, Chat

For information integrity, training, and customer service quality control, all telephone conversations may be recorded or listened to.

Electronic Communication

Like mobile phones or standard mail, internet or unencrypted email communication cannot be completely secure or confidential. Such communications may be modified, lost, or intercepted. GENDRON ASSURANCE disclaims any liability for damages that could be caused to any person in relation to us, regardless of the form of communication.

Disclaimer – Email
